Assign offices and roles

Create an office, attach roles as bundles of permissions, assign the office to a member and set the term.

Mostrar la transcripción
  1. An office is a task with a term, for example treasurer. The role decides what someone may do in CLUP.life. You manage both under Club life and Offices.
  2. With Create office you name the office and decide whether it appears in the leadership team.
  3. Under Attach roles you pick roles from the catalog. Whoever holds the office gets exactly those permissions. The preview shows what is added.
  4. Now you assign the office to a member. Search for the person and set the start and end of the term.
  5. With Assign the person holds the office and is notified. When the term ends, the permissions end automatically.
  6. You can take the office back at any time with Withdraw. The person then loses exactly the permissions the office gave.

Requisitos

  • You are the leadership of the club (permission “Assign roles”).
  • The person is an active member or is to be entered as an office holder without an account.

¿Quién puede hacerlo?

Only the leadership maintains offices and assigns roles (permission “Assign roles”, directly in the club). You can only grant rights you hold directly yourself. Everyone else sees the offices but no administration buttons.

Paso a paso

  1. Open offices

In club life switch to “Leadership” and under “Offices and honors” open “Manage offices”. The “Offices and terms” page explains: an office (for example treasurer) is a task with a term; the role (Member, Moderation, Administration) decides what someone may do in CLUP.life.

  2. Create an office

Click “Create office”. Enter the “Name” (for example chair, treasurer, youth leader), choose the “Visibility” (“Show in leadership team” or internal only) and if needed “Several people at once”, for example for assessors. A function email is optional and allowed only as a function address (for example heimwart@verein.de).

  3. Give roles

Under “Give roles (optional)” choose one or more roles from the standard catalog (for example Finance / Treasurer, Coach / Instructor, Secretary). Whoever holds the office gets the rights of all chosen roles. “Rights through this office” shows beforehand what is added.

  4. Assign a person

Choose “Assign person” (or in the menu of a person under “Members” the entry “Assign office”), the person and the term (“since”, “until”). The person is notified. If you enter someone without an account they receive a proposal and must confirm it with “That is me, accept”.

  5. Order and display

With “move up” and “move down” you sort the offices. Offices in the leadership team are visible to all members, internal offices only to the leadership.

  6. Withdraw or end an office

With “Withdraw” you take an office back (“Withdraw office”). The person is notified and loses exactly the rights this office gave. Anything received otherwise stays. When the term runs out the rights end automatically.

  7. Change the rank role directly

You change a person’s rank role (Member, Moderation, Administration, Leadership) in the member list with “Change role”.

Errores habituales y soluciones

“The office is taken. First end the term of the previous person or allow “several people” for this office.”
Withdraw the office from the previous person or switch on “Several people at once” on the office.
“The person already holds this office.”
You need not do anything. To change the term, edit the existing assignment.
“An office with this name already exists.”
Choose another name or edit the existing office.
“You can only grant rights you hold directly yourself.”
Choose a role whose rights you hold directly yourself, or ask the leadership. Roles with rights you may not grant are marked “Contains rights you may not grant yourself.”
“Child accounts do not get offices with roles” (“No leadership role is linked to children.”)
Children can hold an office without roles but never appear in public lists. Set the office to “internal only” for this.

Conviene saber

  • Rights from roles are derived from the current terms on every check. They apply only in this club and are not passed on to sub-units. The rank role, in contrast, works one level weaker downwards.
  • Deleting and assigning roles stay with the leadership: these two rights are in no role.
  • Whoever holds an office is named only by name. Contact details belong to the office (function address), not to the person.
  • Plan the election in time: if the term of an office ends within the next 90 days the page points it out.
