Show transcript

Prerequisites

  • The office is created under “Offices”.
  • You are the holder of the office (term running) or leadership with the permission “Assign roles” directly in the club.

Who may do this?

Holders of the office and the leadership (permission “Assign roles”, directly in the club) may read and write. Predecessors read along for 90 days after the term ends, the successor from the release on. For everyone else, including members, the folder is not visible.

Step by step

  1. Open the folder

In club life open “Office handover” (Members and offices) or, in the leadership view, “Plan office handover”. There is one folder per office. A note shows “Successor missing” when an office is about to expire.

  2. Write the instructions

Under “Instructions” enter what the successor must know: tasks, processes, special features, where documents are. Click “Save instructions”.

  3. Add items

With “Add item” you add a “Checklist”, “Deadlines and dates” (one-off, monthly or yearly), “Documents and open tasks” (link to the file storage or a task) or “Contacts”.

  4. Name the successor

Under “Successor and handover” choose with “Start handover” the successor (active adult member) and optionally the planned changeover.

  5. Release the folder

Click “Release folder” (or choose “Release folder now” when starting). The successor now reads along and gets a notification. With “Withdraw release” or “Cancel handover” you take this back.

  6. Complete the handover

As soon as the successor receives the office under “Offices”, the handover counts as complete. Predecessors keep reading along for 90 days.

Common errors and solutions

“A handover is already running for this office. Cancel it if you want to change the successor.”
Choose “Cancel handover” and start a new one.
“The successor must be an active member of the club.” / “Children cannot be successors in an office.”
Choose an active adult member.
“The folder is full. Remove items you no longer need.”
Delete items you no longer need with “Remove”.
“The document does not exist in this club’s file storage.” / “The task does not exist in this club.”
Link only to documents and tasks of this club that have not been deleted.
“The folder could not be loaded”
You have no access, or the 90 days after the term are over. Ask the leadership.

Good to know

  • Do not write passwords or access data into the folder. They belong in a password manager.
  • Links to files and tasks carry only the identifier: the file storage checks its own rights when opened.
  • Every change appears in the administration log. The folder texts are stored encrypted.
  • In addition CLUP.life asks the leadership and the holders 90 days before expiry whether a successor is planned.
