Dieselbe Bezeichnung zweimal legt nichts doppelt an.

  • There are open fee claims (see “Create membership fee claims”).
  • The club has a creditor identifier (free from the Deutsche Bundesbank) and is approved by its bank for direct debits.
  • The club holds the signed SEPA mandate.
  • Mandates, file, matching and reminders require Premium for the club.

Qui peut le faire ?

Anyone with “View finances” can look, anyone with “Manage finances” can change. Only owners (right “Export member list”) can create the direct debit file. Everything applies directly in the club only, never via the association. If you lack the right, the function is not visible to you.

Pas à pas

  1. Open Direct debit & matching

Open the “Fee overview” and click “Direct debit & matching”. The tabs are “Master data”, “Mandates”, “Collection”, “Matching” and “Reminder”. CLUP.life does not collect money: you create a file for your online banking.

  2. Enter master data

On “Master data” enter the “Creditor identifier”, “IBAN of the club account”, “Account holder” and the “Pre-notification (days before due date)” (usually 14 days), then click “Save”. When all fields are valid it says “ready for the direct debit file”. You can copy the pre-notification text with “Copy”.

  3. Record a mandate

On “Mandates” choose the “Member”, enter “IBAN” and “Date of signature” and click “Save mandate”. You can leave the “Mandate reference” empty, it is generated. A new mandate replaces the person's previous one; “Revoke” ends a mandate.

  4. Create the direct debit file

On “Collection” choose the “Collection date” (after the pre-notification period) and “Fees due until”. The “Preview” shows which fees are skipped (no mandate, no amount, invalid IBAN). Then click “Create and download file” (format pain.008.001.08).

  5. Submit the file to the bank

Upload the file in your online banking and submit it there. Check it first with your bank's validation tool. Only open fees with a valid mandate are included, each at most once.

  6. Record a returned debit

If a debit is returned, open the list “Collected fees” on “Collection” and choose “Record returned debit”. The claim is open again.

  7. Match incoming payments

On “Matching” choose your bank statement as CSV or camt.053, or paste the text, and click “Calculate suggestions”. Check each “Assignment” and click “Post selected assignments”. The statement is only read, never stored; nothing is booked automatically.

  8. Remind members of overdue fees

On “Reminder” you see the “Overdue fees”. Choose “Payment reminder”, “1st reminder” or “2nd reminder” and copy the text into your own email or letter. You can adapt the “Text templates”.

“The creditor identifier is invalid (format DE98ZZZ09999999999, check digits do not match).”
Check the number for typos. It comes from the Bundesbank.

Check the club's or the member's IBAN for typos.
“The collection date must be in the future.” or the date is before the pre-notification period has passed
Choose a date after the pre-notification period.
“Available with Premium.”
The club does not have Premium. The leadership can book it under “Subscription & invoices”.
“No incoming payments were detected in the file.”
Use a CSV bank statement with columns such as booking date, amount, purpose, or a camt.053 file (at most 1.9 MB).

Bon à savoir

  • Bank details (creditor ID, IBAN, mandates) are stored encrypted and visible only to the club's own leadership, not to the association.
  • Premium: mandates, direct debit file, payment matching, reminder run and reminder templates. The fee list, the CSV export and the club's master data stay in the free plan.
  • Check the file format against your bank's requirements before first use. Late fees and default interest are not provided for; your bylaws decide. This is not legal or tax advice.
