Hold digital votes and elections

How to open a motion or an election with quorum, majority and deadline, open or secret.

DocumentsPremiumChecked on 30.10.2026

Prerequisites

  • You have the right “Keep minutes and resolutions” (secretary, board, administrator).
  • The club has Premium (digital voting).
  • Eligible to vote are active members with an adult account.

Who may do this?

Anyone with “Keep minutes and resolutions” can open and close votes. All eligible members can vote. In an open vote only the leadership sees who voted how, and only after it closes. Anyone who may manage roles can take the result over as an office holder.

Step by step

  1. Open resolutions

Open “Club life” and, in the area “Decide and record”, the “Resolutions and elections”. Click “Open vote” (the first time “Open first vote”).

  2. Choose the type

Under “What is being decided?” choose “Motion” (yes, no or abstain) or “Election” (one of several candidates). Word the motion or name the office, for example “Election of the treasurer”. For an election you can choose an office from the club's offices.

  3. Enter candidates

For an election choose at least two and at most twelve candidates from the member list, or enter people without an account by name. Child accounts cannot stand.

  4. Set the rules

Choose the “Type of vote”: “Open” or “Secret” (votes are stored without names). Set the “Quorum in percent” (0 = no minimum turnout), the “Required majority” (simple, two thirds or for elections the most votes or an absolute majority) and “Vote ends” (in 120 days at the latest).

  5. Watch the vote

While it runs, interim results are hidden. Members “Cast vote”; a cast vote cannot be changed. The leadership can close early with “End now”.

  6. Use the result

The result shows turnout, quorum and votes per candidate. For an election with an office you can enter the elected person via “Take over as office holder” (term from/to). For the register of associations and the notary, then use the election minutes.

Common errors and solutions

“Votes are opened by the club leadership.”
You lack the right “Keep minutes and resolutions”.
“An election needs at least two candidates.”
Add another candidate (at most twelve, each only once).
“The end must be in the future.” or “A vote may run for at most 120 days.”
Choose the date and time of the end accordingly.
Result “Quorum not reached”
The quorum was not met. Open the vote again or decide according to your bylaws.
“Available with Premium.”
Digital votes are part of Premium. Minutes stay free.

Good to know

  • Whether a digital vote is valid under your bylaws (for example for board elections) is decided by your bylaws. This is not legal advice.
  • In a secret vote only the fact that someone took part is stored, so nobody votes twice.
