Create an event
Create an event and understand every option: club, online or on site, type, repetition, place, cover image, registration, target group, fee and visibility.
Show transcript
- In the calendar, Create event opens this form. Choose the club and whether the event is on site or online.
- Give the event a name and a type, for example training or tournament. The description says what to bring.
- Then you say when it starts. With Repeat you create a series, for example every week.
- For an on-site event you enter place and city, for an online event the video conference link.
- A cover image makes the event recognizable: your own picture or one of the supplied motifs.
- Under Participation you switch on registration and limit the places. Parents may register their children.
- Under Who is it for you enter the age range and accessibility. Nobody is excluded technically.
- A participation fee is optional and only informational. CLUP.life does not process any payment.
- In the second step you set comments and choose the visibility: only your club, invited people only, or public.
- With Create event it appears in the calendar, and everyone who may see it is notified.
Prerequisites
- In the club, association or group you have at least the Moderation role or an office with a role that contains “Create events”.
Who may do this?
Whoever has the permission “Create events” may do so (from Moderation up, also from roles such as Events / Appointments or Trainer / Instructor). Without it you see “You cannot create events yet”.
Step by step
Open the form
In the calendar open “Create event”. The form has two steps (“Step 1 of 2”). Required fields are marked with *.
Choose club and type
Under “Club, association or group” choose the organization; it also decides which sub-unit sees the event. Choose “Online” or “On site”, enter the “Event name” and choose the “Event type” (for example Group meeting / Meeting, Training / Practice, General assembly, Parents’ evening).
When: time and recurrence
Enter start and end or switch on “All-day event”. With “Recurrence” you create a series (for example weekly for group meetings and training, monthly for meetings) and with “Series ends on” its end; leaving it empty means open-ended. RSVPs apply per event in the series.
Where: place or link
For “On site” enter “Place” and “City” and, with “Reserve a facility”, block a facility in the booking calendar. For “Online” enter the “Event link”; it is stored encrypted and shown only to members who accepted. A “Cover image” (16:9) is optional.
Set up participation
On the page “Continue to settings” switch on “Registration required”, set the “Maximum number of spots” and the “Registration deadline”. “Guardians may register their children” decides whether parents accept or decline for child accounts. Fully booked events keep a waiting list.
Audience and fee
Under “Who for” enter gender, “Age from”, “Age to” and accessibility – this helps people find the event and excludes nobody technically. With “Participation fee” state an amount and what is included; CLUP.life does not process payments.
Settings and visibility
Switch “Offer accept and decline”, “Allow comments”, “Participant list visible” and “Share event on social networks” on or off. Under “Who sees this event” choose: “Only this group / this club”, “Only members of the organization”, “Only invited people” or “Public”.
Create
Click “Create event”. “The event has been created.” appears. The event is in the calendar of all members who may see it.

Common errors and solutions
- “Please choose whether the event is online or on site.”
- Choose “Online” or “On site” at the top; only then do the matching fields appear.
- “The end must be after the start.”
- Correct end date and time.
- “Please enter a time or choose “all day”.”
- Enter the start time or switch on “All-day event”.
- “Please enter a complete address starting with https://.”
- The event link needs the complete address with https://.
- “The maximum age must not be below the minimum age.”
- Check “Age from” and “Age to”.
- “Please enter an amount like 12.50.”
- Write the participation fee as a euro amount or leave the field empty if the event is free.
- “The event could not be created.”
- Check the marked fields (“Please check your entries”) and try again.
Good to know
- When registering, participants can note allergies, medication or support needs. These are health data under Art. 9 GDPR; they are stored encrypted and shown only to the event leadership.
- If the participant list is hidden, the interface does not return it even on direct access.
- Upload only cover images whose rights you hold; for recognizable people only with their consent (for children, their guardians’).
- An event always belongs to exactly one sub-unit; choosing several groups or clubs at once is not possible.
