Team cash box: keep a penalty catalog and team fund

How to keep the books for penalties, deposits and expenses of a team fund.

FinancesPremiumChecked on 30.10.2026

Prerequisites

  • You have the right “Manage finances” (treasurer or leadership).
  • Posting and the catalog require Premium for the club.

Who may do this?

Only the leadership or treasurer (“Manage finances”, directly in the club) manage the catalog and postings. Every member sees the fund balance, the catalog and their own balance. Individual penalties are visible only to the person concerned and the treasurer.

Step by step

  1. Open the team cash box

Open “Club life” and, in the area “Money”, the “Team cash box”. At the top are “Fund balance” and “My balance”. Only the books are kept here, the money stays with you.

  2. Create the penalty catalog

Under “Penalty catalog” create entries: a “Name” (for example “Late to training”) and the fixed amount, then “Create”. Entries you no longer need can be “Removed”.

  3. Post an entry

Under “Post” choose the “Type”: “Penalty”, “Deposit” or “Fund expense”. For a penalty or deposit choose the “Member”. Amount and reason come either “From the catalog” or via “Free entry” (“Reason”, “Amount in euros”). Then “Post”.

  4. Check open amounts

“Open amounts per member” shows the treasurer who still has to pay. The “History” lists all postings.

  5. Reverse a wrong posting

“Reverse” cancels a posting. It remains in the history marked as “reversed”.

You can find the feature here: /organisation/<verein>/vereinsleben/teamkasse

Common errors and solutions

“Only the leadership or treasurer manage the team cash box.”
You lack the right “Manage finances”. You can still view the fund balance, catalog and “My postings”.
“Available with Premium.”
The club does not have Premium. Reading, reversing and archiving catalog entries remain possible; new postings need Premium.
“That did not work.” when posting
Check that a member and an amount or catalog entry are selected.

Good to know

  • CLUP.life does not process money, the team cash box is a cash book.
  • Amounts and reasons are stored encrypted. For children and young people, penalties are shown only to their guardians and the treasurer.
