Requisiti

  • You have moderator rights or higher in the club.

Chi può farlo?

Anyone who may write announcements (moderator and higher) can write. By default only moderators and the leadership read minutes; you must release them for members. Members can only read minutes if the leadership chose “For members”.

Passo dopo passo

  1. Open minutes

Open “Club life”, switch to “Leadership” and choose “Keep minutes” in “Planning and minutes”. Start with “New minutes” (the first time “Create first minutes”).

  2. Fill in the header

Enter the “Title” (for example “Board meeting October”), “Date and time of the meeting” and optionally the “Place”. Use “Event (optional)” to link the minutes to an event; they then appear on the event under “Minutes”.

  3. Take over the agenda

If you choose “Use the event's agenda as a template”, agenda items are copied. Add results and resolutions below them.

  4. Write the text

In the “Minutes” field record attendees, agenda and resolutions (plain text). The text is stored encrypted in the database.

  5. Set who can read

Under “Who may read it?” choose “Leadership only” (moderators and administrators of this club) or “All members”. Then “Save minutes”. Until approval it is a “Draft”.

  6. Approve

Once the minutes are confirmed in the next meeting, click “Approve” and confirm. They are locked (“Approved on …”); corrections belong in the next minutes.

Errori comuni e soluzioni

“Minutes not found – These minutes do not exist or you may not read them.”
The minutes are released only to the leadership or were deleted. Ask the leadership to release them for members.
“These minutes are approved and locked.”
Changes are no longer possible. Record the correction in the next minutes.
“There is no agenda for this event yet.”
Maintain the agenda on the event first or write the agenda by hand.

Da sapere

  • Minutes are club records: they remain until the leadership or the organization deletes them. Create election minutes for the register of associations with the “Election and register filing” package.
