  • You created the event or may edit all events (moderator and higher, directly in the club).
  • The event is of type Camp, Tournament, Course or Other.
  • The registered people are members of the club.

Qui peut le faire ?

Only the event leadership (event creator or “edit all events”, directly in the club) can set up, view the participant list and create the emergency folder. Members register themselves, parents their children. For outsiders the function is not visible.

Pas à pas

  1. Set up the trip

Open the event and, in the block “Trip and camp”, choose “Set up trip”. Set the “Registration deadline”, the “Places (empty = unlimited)” and “Delete details after (days)” (0 to 90, default 14, after the end of the trip). Optionally write a “Packing list” and save.

  2. Registration by members

Members register with “Register bindingly”: photos allowed, swimming permission (“May swim”, “May only swim under supervision”, “May not swim”), consent to emergency treatment and giving medication, allergies, medication, notes and 1 to 3 emergency contacts.

  3. Register children

Parents can register several children in one step. They must confirm: “I am a guardian and confirm the details and consents for my child.” Without this confirmation nothing is saved.

  4. Places and waiting list

If all places are taken, the registration goes on the waiting list. When someone withdraws, the person waiting longest moves up. The status shows “{n} of {m} places taken” and “{n} on the waiting list”.

  5. View the participant list

“Show participant list” displays names, consents, swimming permission, allergies and emergency contacts. Every retrieval is logged (without content).

  6. Print the emergency folder (Premium)

“Emergency folder as PDF” creates a printable PDF of everyone registered with allergies, medication, emergency contacts and consents to take along.

  7. Deletion after the trip

After the end of the trip plus the set retention days CLUP.life deletes health details and emergency contacts automatically. Names and consents remain as proof of participation. The folder then says “deleted”.

Erreurs fréquentes et solutions

“A trip cannot be attached to this event. Choose the type Camp, Tournament, Course or Other.”
Change the event type.
“The registration deadline has passed. Please contact the leadership.”
Registration is still possible on the deadline day itself. After that the leadership can change the deadline.
“Please confirm as a guardian the details and consents for your child.”
Tick the confirmation. Without it a child cannot be registered.
“Every registered person must be a member of the club.”
Admit the person as a member first.
“For at least one account there is no verified guardianship.”
The child must be linked through the parent's family link.
“Available with Premium.” for the emergency folder
Only the PDF folder is Premium. The participant list with all details is available to the leadership without Premium.

Bon à savoir

  • Privacy (Art. 9 GDPR, children): health details and emergency contacts are stored encrypted, only the event leadership sees them, they are collected only with explicit consent and are deleted immediately on withdrawal and otherwise after the trip. There is no access through the interface.
  • Travel, supervision and liability questions are the club's own responsibility. This is not legal advice.
  • Free: set up the trip, registration with consents, waiting list, packing list, participant list, automatic deletion. Premium: only the emergency folder as PDF.
