Document directory: provide bylaws, forms and regulations

How to store bylaws, fee rules and application forms as a file or link and control who sees them.

DocumentsBasic (free)Checked on 30.10.2026

Prerequisites

  • You have moderator rights or higher in the club.

Who may do this?

Anyone who may write announcements (moderator and higher) can add, edit and remove entries. The leadership sees all entries, members only those for “All members”. The association does not see a club's internal documents.

Step by step

  1. Open documents

Open “Club life”, switch to “Leadership” and choose “Maintain documents” in “Maintain content” (members see it as “Documents”).

  2. Add a document

Click “Add document” (the first time “Add first document”). Enter a “Title”, for example “Bylaws as of 2024”, and choose the “Type”: Bylaws, Forms, Regulations, Finances or Other.

  3. Choose the source

Under “Source of the document” choose either “Upload file” (stored protected in CLUP.life, with versions) or “Provide link” (a pointer to a web page or club cloud, https:// only, no credentials in the link).

  4. Set visibility

Under “Who sees the entry?” choose “All members” or “Leadership only”. A “Note (optional)” appears with the entry. Then save.

  5. New version or remove

For a file you can upload a new version via “Edit”; “Versions” shows the history. “Remove” deletes the entry. For a link only the pointer disappears, the document stays at the linked place.

You can find the feature here: /organisation/<verein>/vereinsleben/dokumente

Common errors and solutions

“The file is too large (at most {max} MB).”
Make the file smaller or create a link. Text files may be at most 1 MB.
“Please enter a complete link with https://.”
Use the full address with https://.
“Please enter a title (at least two characters).”
Enter a title.
Files with macros, scripts or videos are rejected.
Save the document as PDF or in an office format without macros.

Good to know

  • Uploaded files are checked (file type, size, virus scan) and stored encrypted; they belong to the uploading person and are deleted with them unless the leadership takes them over.
  • For folders, group-based rights and a trash, use the “File storage”.
