Create facilities, halls and rooms and let members book them
How to make rooms and grounds of your club bookable and decide on requests.
AdminPremiumChecked on 30.10.2026
Prerequisites
- You have the right “Manage facilities” in the club (administrator and higher).
- Creating, changing and booking need Premium for the club.
Who may do this?
Anyone with “Manage facilities” can create and change facilities and decide on bookings. Members can book (and, depending on the price for externals, externals too). Only members see occupancy names.
Step by step
Open facilities
Open the club and the tab “Facilities and equipment”. On the tab “Facilities” click “Create facility” (the first time the first facility).
Describe the facility
Enter “Name” (for example “Clubhouse or Hall 2”), “Description”, “Seats”, the place with address and accessibility.
Set prices
Under “Rates” set the “Price per started hour” for members, members of a superordinate organization (association rate) and externals. Empty means: not rented at this rate, 0 means free. Whoever books sees the price before confirming.
Set rules and times
Switch “Bookable” on or off, choose whether “Bookings must be approved”, the “Lead time in hours”, the “Maximum duration in minutes” and the opening hours per weekday. Then “Save”.
Decide on bookings
Requests appear under “Approval needed”. You accept or decline them. Members find their bookings under “My bookings”.
You can find the feature here: /organisation/<verein>/anlagen
Common errors and solutions
- “Available with Premium.”
- Creating, changing, booking and deciding are part of Premium. Reading, cancelling and archiving stay free.
- “Facilities not public – Only people with access see the facilities of {club}.”
- Log in or join the club.
- “Please enter an amount like 12.50.”
- Enter the price with a comma or period.
- “The end must be after the start.”
- Correct the start and end of the booking.
Good to know
- Only members see bookings and occupancy names; outsiders see free time slots at most.
- For club equipment to lend, see “Manage and lend equipment”.
