Operator duties: register, deadlines and evidence
Recurring duties of the platform operator with due date, reminder and evidence in a traffic-light overview.

- You are the platform owner and have a second factor.
- The duties register has been loaded (operator task).
Kto może to zrobić?
Only the platform owner; for everyone else the server answers “Page not found”. (The roles “Platform admin” and “Privacy” carry the right “manage duties”, but enforcement on this page is not switched over yet.)
Krok po kroku
Read the traffic light
Open “Operator duties”. The status is “Overdue”, “Check flagged”, “Due”, “Due soon” or “OK”. Filter by area (Privacy, Security, Operations, Legal, Contracts) and status.
Know the type of duty
Automatic: the application checks daily itself and only reports anomalies. Semi-automatic: reminder, you run the script on the server, the result completes the duty. Manual: you carry it out and mark it with evidence.
Complete
Choose “Mark as done” and enter “Done on”, an “Evidence note”, optionally a reference and the “Next due date”. Only a pointer to where the evidence lives is stored; no files are uploaded.
Check automatically
With “Check now” you trigger a check immediately. For “Check flagged”, “Why flagged?” explains the reason.
Postpone, snooze, retire
“Postpone” changes the due date and requires a reason (it belongs to the evidence). “Snooze” only pauses reminders. “Turn off reminders” switches them off. You can “Retire” your own duties.
Create your own duty
With “Create own duty” you extend the register: name, description (no names of third parties), legal basis, area, first due date, repetition and notice period. Own duties are always manual.
Export the log
The “Log” tab holds the record of all completions. “Export log as CSV” is meant for the supervisory authority and counsel and appears in the audit log.

Typowe błędy i rozwiązania
- “The duties register is still empty”
- Operations load the register; contact technical operations.
- For a server message (heartbeat) it says “Heartbeat not set up” or “The last message is too old”.
- The sender (server or CI) is not reporting. Check operations; the guide is in the operations documentation.
- “Open requests from data subjects are older than 21 days”
- The deadline has not expired yet, but handle the requests promptly. Locally these are usually test data.
Warto wiedzieć
- Reminders come 30, 14, 7 and 1 day before and daily when overdue – in the app and by email, only to you.
- The log is kept for 3 years as evidence (Art. 5(2) GDPR); the register itself stays.
